Creating Nexus Records in SuiteTax for Tax Management
Create nexus records in SuiteTax to manage tax jurisdictions and rates accurately across your subsidiaries, ensuring compliance.
Creating a nexus record in SuiteTax is a crucial step for managing tax jurisdictions and rates effectively within your organization. Nexuses must be set up to associate each of your tax jurisdictions with your subsidiaries, enabling proper tax calculations on transactions.
How Do You Create a Nexus Record in SuiteTax?
To create a nexus or a subnexus when SuiteTax is enabled, follow these steps:
- Navigate to Setup > Tax > Nexuses > New.
- In the Country field, select the country where the nexus is located.
- In the State/Province/County field, select the state, province, or county relevant to the nexus. If such a record does not already exist, create it via Setup > Company > Setup Tasks > States/Provinces/Counties > New.
- In the Description field, provide a clear description of the nexus.
- If applicable, select the parent nexus in the Parent Nexus field; otherwise, leave it blank. Note that only nexuses for the selected country will appear.
- If you stop reporting taxes in this nexus or if it was set up in error, check the Inactive box.
- In the Tax Agency field, select the vendor name that you will submit tax reports to and remit payments. You can designate a vendor as a tax agency by:
- Choosing Tax Agency in the vendor record's Category field.
- Clicking the plus icon next to the Tax Agency field on the nexus record to create a new tax agency.
- Click Save to finalize the record.
Viewing Parent Nexus Information
When viewing a subnexus record, you can click the link in the Parent Nexus field to quickly access the details of the associated parent nexus.
Understanding Nexuses in SuiteTax
NetSuite defines a nexus as a tax jurisdiction or geographic area where you conduct business, each with its specific tax regulations. Especially in countries like the U.S., Canada, and Brazil, taxes can be levied at multiple levels, making the correct nexus setup essential for compliance and accurate tax reporting.
Creating Subnexuses
Subnexuses can be created under a parent nexus, enhancing your ability to structure tax jurisdictions. It's necessary to create the parent nexus before establishing subnexuses, and only active nexuses are considered when checking for duplicates.
Key Considerations
- Duplicates: The system will not permit the creation of a nexus if another one already exists with the same geographical settings (i.e., identical Country and State/Province/County).
- Nexus Structure: It’s worth noting that the nexus structure operates independently from your subsidiary structure and tax registrations.
Example: Nexus Structure
In an example setup, Canada may have a national level nexus alongside subnexuses for different provinces:
| Description | Parent Nexus | Subnexuses |
|---|---|---|
| Nexus A | (blank) | Nexus B |
| Nexus C | ||
| Country | Canada | Canada |
| State | (blank) | Alberta |
| Ontario | ||
| Parent Nexus | (blank) | Nexus A |
Efficient nexus setup helps streamline tax management and reporting in NetSuite, ensuring compliance across different jurisdictions.
