Configure the Inventory Optimization Results Workbook
Configure and customize the Inventory Optimization Results Workbook, including prerequisites, role permissions, stored results, and standard-view limits.
The standard Inventory Optimization Results Workbook uses the Inventory Optimization Results Dataset and reports stored results from completed inventory level calculations. Use a copy—not the standard workbook—for changes. Before relying on it, confirm feature prerequisites and role permissions, then interpret its table as processed optimization output rather than a view of current item-location quantities.
What Is the Workbook’s Data Source and Scope?
The Inventory Optimization Results Workbook uses the Inventory Optimization Results Dataset as its source. That dataset provides joins to the following records:
| Dataset joins |
|---|
| Item |
| Location |
| Item Location Configuration |
| Inventory Optimization Segment |
The workbook shows stored Inventory Optimization Result records for which the Inactive field is false. Inventory optimization processing writes the displayed values. SuiteAnalytics does not recalculate those values.
This distinction matters when calculation inputs change. The workbook does not immediately display revised results: displayed results update only after a scheduled or manual calculation successfully processes the item-location.
Which Features Must Be Enabled First?
Before using the workbook, enable Advanced Inventory Management and Inventory Optimization on the Enable Features page. Inventory Optimization requires Advanced Inventory Management.
To enable Inventory Optimization:
- Go to
Setup > Company > Setup Tasks > Enable Features. - Click the Items & Inventory subtab.
- In the Inventory section, select Inventory Optimization.
- Click Save.
To segment inventory by item-location, enable Advanced Item Location Configuration as well.
Feature enablement does not immediately change item planning values. Preferences must be set, eligible Reorder Point items can be included, and the related calculations must run. The workbook then reflects results only after a calculation successfully processes the item-location.
Which Role Permissions Apply?
A role needs both of the following to use the workbook:
| Permission | Required level or purpose |
|---|---|
| SuiteAnalytics Workbook | Edit level |
| Inventory Optimization | View level or higher |
The Inventory Optimization permission also controls access to segment records, segmentation tasks, event logs, and result pages. The standard workbook is shared with all users by default, but only administrators can change its permissions.
Additional permissions apply to inventory optimization setup and calculation work rather than changing the workbook itself:
| Permission | Controlled access |
|---|---|
| Accounting Preferences | Inventory Management Preferences and the Optimization Preferences subtab |
| Items | Item records and the Calculate Inventory Levels page |
A role needs both Items and Inventory Optimization permissions to run Calculate Inventory Levels for Inventory Optimization.
How Should You Customize the Standard Workbook?
Do not overwrite the standard workbook. Select Save As to create a copy, then edit each component in that copy on its corresponding workbook tab. This preserves the standard workbook while providing a separate workbook for changes.
Shared recipients have an additional constraint: before editing the dataset, they must save their own copy of the dataset.
The standard table view contains its Data Grid fields in the specified order. Three fields remain in the dataset but are not displayed in that standard table view:
| Field available in the dataset | Included in the standard table view? |
|---|---|
| Created Date | No |
| Analysis Period End Date | No |
| Override Service Level | No |
What Does the Standard Workbook Not Show?
The standard workbook does not include current item-location quantity fields. It also does not include a pivot table, chart, or dashboard page.
These omissions should shape how users interpret the workbook. The displayed records are stored inventory optimization results written by processing, and changes to calculation inputs are not reflected until a scheduled or manual calculation successfully processes the relevant item-location.
Who This Affects
- Users of the standard workbook: Their role needs SuiteAnalytics Workbook at the Edit level and Inventory Optimization at the View level or higher.
- Administrators: Only administrators can change the standard workbook’s permissions.
- Users who run inventory level calculations: Their role needs both Items and Inventory Optimization permissions.
- Shared recipients editing data sources: They must save their own dataset copy before editing the dataset.
Key Takeaways
- The workbook is based on the Inventory Optimization Results Dataset, which joins Item, Location, Item Location Configuration, and Inventory Optimization Segment.
- Enable Advanced Inventory Management and Inventory Optimization before use; enable Advanced Item Location Configuration when segmenting inventory by item-location.
- Save a copy with Save As before customization and do not overwrite the standard workbook.
- The workbook displays active stored result records written by inventory optimization processing; SuiteAnalytics does not recalculate them.
- Input changes appear only after a scheduled or manual calculation successfully processes the item-location.
- Current item-location quantity fields, pivot tables, charts, and dashboard pages are not part of the standard workbook.
